This policy explains how DutyGO ("we", "us", "our"), a product of Firebound Interactive, collects, uses, and protects personal data belonging to club administrators, club members, and visitors to our website and portal.

1. Data we collect

We collect different data depending on how you interact with DutyGO:

  • Prospective customers who submit the "Get a Quote" form: name, club/organization name, email address, plan interest, and any details you choose to provide.
  • Club administrators and members who use the portal: name, email address, phone number, vehicle registration (if provided), qualifications, duty/role assignments, and check-in timestamps.
  • Authentication data: your email address and an encrypted password, managed by our authentication provider, Firebase Authentication.
  • Usage data: basic technical information such as browser type, generated automatically as you use the site and portal.

2. How we use your data

  • To create and manage your account and club membership
  • To operate roster, duty-swap, check-in, and announcement features
  • To send account-related emails (welcome emails, password resets, removal notices, urgent announcements you opt into receiving from your club)
  • To respond to quote requests and provide customer support
  • To maintain the security and integrity of the service

3. Legal basis for processing

Where UK/EU data protection law applies, we rely on the following legal bases: performance of a contract (providing the service you or your club have signed up for), legitimate interests (keeping the service secure and responding to enquiries), and consent (where you have explicitly opted in, such as marketing communications).

4. Who we share data with

We do not sell personal data. We share data only with:

  • Your club's administrators, who can see member names, contact details, and duty records as part of running the club roster.
  • Service providers who process data on our behalf, currently Google Firebase (database and authentication hosting) and our transactional email provider, strictly to deliver the features described above.
  • Authorities, where required by law.

5. How long we keep your data

We retain account data for as long as your account is active. If you are removed from a club, your profile record is disassociated from that club but may be retained to preserve historical roster records, unless you request full deletion (see Section 7). Quote request data is retained for as long as reasonably needed to respond to your enquiry, and no longer than 24 months.

6. How we protect your data

Access to club data is restricted by account-level permissions, so members can only see data relevant to their own club, and only club administrators can manage staff records. Passwords are never stored in plain text; they are handled entirely by Firebase Authentication's industry-standard encryption.

7. Your rights

Depending on your location, you may have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. To exercise any of these rights, contact us using the details below, or ask your club administrator to remove your account, which will delete your profile and sign-in credentials from our systems.

8. Cookies

Our website and portal use only the minimum technical storage required to keep you signed in and remember your club selection. See our Cookie Policy for full details.

9. Children's data

DutyGO is intended for use by club administrators and members aged 16 and over. We do not knowingly collect personal data from children under 16. If you believe a child's data has been provided to us, please contact us so we can remove it.

10. Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date at the top of this page.
